These materials will be available at the AEJMC registration area.What are the set-up and tear-down times?
Set-up is from 9 to 11:30 a.m. Thursday, August 9. Tear-down is from 4 to 7 p.m. Saturday, August 11.What are the days and hours of the Expo?
The Expo opens at Noon on Thursday, August 9, and closes at 4 p.m. on Saturday, August 11. Although the conference continues on Sunday, August 12, the Expo closes on Saturday.What are the ship-to procedures, address and charges?
Each exhibitor will receive information regarding shipping from the Expo Service Company during the month of April.How do I order additional services?
All the necessary forms for ordering additional services will be provided in the “Service Kit” that each Exhibitor will receive in April. Be reminded, however, the AEJMC Expo is primarily a table-top show so no additional furniture is necessary.What is provided in the Expo area?
Each exhibitor receives a draped 6’ table, two chairs and a wastebasket for each booth reservation.
Do I need to order carpet for my booth?
You do not need to order carpet because the Expo is in a carpeted area.
Location is determined when payment it made. Groups who receive a discounted rate will be assigned space after those who pay the full rate. Booths will be assigned in April.
Is there a layout of the Expo area so I can see where we are located?
The layout will be posted on this website by June 15.
Will there be Internet connectivity in the Expo area?
Internet connectivity will be available but it must be ordered through the Expo Service Contractor.
Will there be electricity in the Expo area?
Electricity will be available but it must be ordered through the Expo Service Contractor.
May I order catering for my booth?
Catering will be available but it must be ordered through the hotel. That contact information will be posted soon.
May I have an author event at my booth?
You may have an author event at your booth.
How do I make room reservations for my representatives?
Go to the hotel page on this site and click on the hotel link to make room reservations.
Am I limited in the number of representatives I may have at the Expo?
Each exhibitor is entitled to three representatives for each booth reserved. Additional representatives will be charged $75.
What if I have a lot of books to exhibit, but I do not wish to send a representative?
You may have an “unaccompanied” table at the conference. Reserve a booth and ship your books through the Expo Service Provider. An AEJMC staff member will unpack your books and other materials and will monitor your exhibit. This person will take orders and other requests; these will be sent to you after the convention. Materials will not be returned; they will be donated.
What if I only have one or a few books to exhibit, but I do not wish to send a representative?
AEJMC offers a Joint Display area that answers these needs. This area is monitored by an AEJMC staff member. This person will take orders and other requests; these will be sent to you after the conference. Materials will not be returned; they will be donated.
Do my representatives need to register for the conference?
Your representatives do not need to register for the conference. However, any representative who is a member of AEJMC must register for the conference even if they are only going to work in the Expo area.
Are my representatives restricted in attending other conference activities?
Your representatives may attend any event during the conference for which there is not a separate charge. Payment for those events should come in separately using the conference registration form.
What if I wish to have a demonstration/presentation room during the Expo?
A limited number of rooms will be available to conduct demonstrations/presentations. For costs and other aspects, contact Fred Williams at FredAEJMC@aol.com or (803) 798-0274.
